Ideally, Import tagging will manage the tagging of your files in the best possible way as soon as users upload data.


Still, it can often be necessary to automate this task, taking it out of the users’ hands and improving the quality of your metadata. The "Folder-based tagging" function is available for this purpose; you can use it to set up a little workflow for tagging metadata.



Tip 7: Use folder-based tagging to perform automatic metadata tagging via the folder structure

If users regularly upload new data into a folder structure for a project, recurring metadata that ties the data to a project name or topic is required.


Folder-based tagging can automatically add metadata to files/assets within a specific folder structure. If you enter your desired metadata in folder-based tagging, the values will be added to the assets when they are imported into the folder. You can use the “Inheritance” function to automatically pass on or transfer metadata to assets at lower levels of the folder hierarchy.


If you combine this function with import tagging, your data will be ideally tagged for the system search after it is imported. In this context, you need to consider which fields should contain automatic metadata and which fields the user should populate manually during the upload process via the import tagging. Correspondingly, you should enter the desired metadata in the folder-based tagging and use the "Type of change" function to determine the metadata that should be edited by the user via the import tagging.
