Folder-Based Tagging
Folder-based tagging allows you to automatically tag files/assets in folders with metadata. Folder-based tagging can be set for individual folders. The folder type does not need to be taken into account.
Unlike import tagging, folder-based tagging is not applied by a user during import. When files/assets are imported/moved into a folder with folder-based tagging, the preset metadata is automatically tagged. It does not matter whether the files/assets already exist in the folder or are newly added to it.
Please note: As folder-based tagging is an automatic system process, the 'System Process' user will be listed in the change history.
- Open the "Files" module.
- Select a folder.
- Click the "three dots" icon next to the folder name to open the "folder-based action menu."
- Click the "Properties" icon to open the folder properties.
- Click sub-view "Folder-based tagging".
- Enter the desired metadata into the metadata template shown.
- Optionally, you can also select the "Type of change," "Inheritance" for further sub-folders, or "Also tag existing files."
- Click the "Save" icon to save your settings.
Note: In addition to folder-based tagging, there is the option to tag assets using "Import tagging".
If, for a given folder, folder-based tagging with the behavior "Overwrite existing values" is already set, "folder-based tagging" will overwrite the metadata entered during import tagging after the import process.
1. Metadata Field
In the available metadata fields, enter the metadata that you want to use to tag the files/assets in this folder.
2. Type of Change
Click the drop-down list to determine how folder-based tagging should handle existing metadata or metadata entered via import tagging. Various types of change are available; you can use them to set the behavior for each field type.
Type of Change:
- Overwrite existing value(s) (all field types)
- Only add data if there are no values (all field types)
- Add values to list (only fields of the type "List")
- Add values to list - redundant values are permitted (only fields of the type "List")
- Delete values from list (only fields of the type "List")

3. Delete Values
Click the checkbox "Delete all values for this field" to activate the process that will delete all metadata for the respective field of the files/assets in this folder.

4. Inherit values to subfolders
Click the checkbox "Inherit values to subfolders" to activate tagging of files/assets in all further sub-folders of this folder.
You can set the inheritance of metadata for each metadata field separately.

5. Inherited values
The column "Inherited tagging values" indicates that metadata from a folder-based tagging process at a higher level of the folder hierarchy has already been applied to this folder using the "Inheritance" option.
Hover your mouse over the "Inherited values" icon. The folder path of the folder passing on the metadata, the inherited values, and the type of change are displayed next to the mouse cursor.
Note: You can use the "Type of change" to determine whether and how the inherited values should be applied to the files in this folder. For example, if you set the type of change to "Overwrite existing value", you can remove the inherited values.

6. Tagging Existing Files/Assets
Click the toggle icon to carry out the tagging process for existing files/assets in the folder. You can also use the menu below to select whether existing files in sub-folders should be tagged as well.
Note: When you open folder-based tagging, the toggle switch will always be deactivated, even if you had previously activated it. This protects existing files/assets from being accidentally overwritten with new metadata. Overwriting must be done on purpose.
7. Existing Files/Assets in Sub-Folders
Click the drop-down menu to select whether only files/assets in this folder should be tagged, or if all further sub-folders should also be included in the tagging. Please keep in mind that the checkbox for "Inheritance" needs to be checked for the metadata field for this to happen.
