When importing images and videos, the plugin writes the 4ALLPORTAL ID of the file as a tag into the PowerPoint document.

When uploading and importing the PowerPoint document into the 4ALLPORTAL DAM, the ID tags are read out and cross-referenced with the database. If you open the PowerPoint document in detail view, the files are listed under “Linked files”.

If you open one of the images or videos linked with the PowerPoint document, the PowerPoint documents in which the file is used are listed under “Linked with”.


This will give you an overview, for example, of which images and videos are used in the presentation. Alternatively, you can use open the used images for editing via the 4ALLPORTAL or make them available to someone as a download.

Requirements and Application of the Function

  1. Importing an image or video into a PowerPoint document using the plugin

  2. Saving the document onto your computer
    (see Supported Formats)

  3. Perform an upload and import of the PowerPoint file from your computer into the 4ALLPORTAL DAM. 

  4. Then open the PowerPoint document in the 4ALLPORTAL detail view.

  5. The images and videos will be displayed under “Linked Files”.

  6. Opening a linked file in the detail view lists the PowerPoint document with which the file is linked.



Updating the Linked Files

It is generally necessary to update the linked files as soon as you delete images or videos that have been imported into the PowerPoint document or as soon as you import more. This results in a discrepancy between the files actually used within the document and the current list of linked files in the DAM.


  1. Save the PowerPoint document that has been opened from the DAM and changed to your computer again.

  2. Perform an upload and import of the PowerPoint file into the 4ALLPORTAL and “replace” this with the present file in doing so.

  3. By “replacing” the new file with the existing PowerPoint file, the tags are read out again and the list of linked files is updated.
