The PowerPoint Plugin Version 5 connects your 4ALLPORTAL with Microsoft 365 PowerPoint and makes it directly available via a click.

Open the 4ALLPORTAL DAM from a PowerPoint presentation and import image files to a slide or placeholder, or open a presentation template of your company.

Functionality

How does the PowerPoint Plugin work?


  • With 4App "PowerPoint Plugin" Version 5, the 4ALLPORTAL DAM can be embedded as an add-in into Microsoft PowerPoint.
  • The plugin can be used in the locally installed PowerPoint as well as in the browser version.
  • Via the PowerPoint task pane for add-ins (right side menu) the 4ALLPORTAL is connected and opened. The images used in a presentation are also displayed here.
  • After login/opening, a reduced view of the 4ALLPORTAL DAM is displayed in a separate plug-in window. Only image and presentation files are displayed. They can be filtered here, searched for and imported into a PowerPoint presentation as well as opened as a new template with one click: 


Insert image files

Import images from your DAM without the need to leave PowerPoint or download the images first. All DAM images used in a presentation are displayed in the PowerPoint task pane.

Open PowerPoint files as presentation templates

Store presentation templates in the DAM according to your company standards and keep them up-to-date. They can be opened and used directly in PowerPoint via the plugin. Presentation templates are opened in a second window/tab as a new file and must be saved accordingly.

Search and filter

On the left side of the plug-in window you see the familiar search and filter options from your 4ALLPORTAL. The search is limited to PowerPoint relevant format groups "Image files" and "PowerPoint" by default. You can search your files by file name, file format or via the folder structure. 

Automatic linking

All images and presentations used via the plugin are marked and linked in the background:

  • In PowerPoint, used images are displayed in the add-in's task pane.
  • In 4ALLPORTAL, the detail view of an image/presentation lists the respective links in section "Linked Files".


Automatic update

Through the automatic linking, changed or deleted image files can be detected. If images are updated or deleted in the DAM, the plugin alerts the PowerPoint user the next time the presentation is opened. The image files can then be updated with one click.

Usage history

The use of images and presentation templates in PowerPoint is logged in the 4ALLPORTAL Usage History module. As soon as a user opens an image or presentation via the plugin, an entry is automatically created in the usage history of the corresponding file.

Please note: This user information refers to PowerPoint Plugin Version 5. Compared to previous versions, version 5 has been enhanced both functionally and technically. Changes at a glance:

  • requires PowerPoint in Microsoft 365 version
