Usage History Module
The usage history module provides you with an overview of any and all files that have been downloaded, either by 4ALLPORTAL users or external contacts.
The usage history records when:
- a download is started via the shopping cart
- a download is started via eTicket (both gallery and directly from the mail)
- a file is imported via PowerPoint plugin
- a file is sent to an external system via the API after being processed by the Object Image Service (service for changing the format)
Differentiation
Entries in the usage history are created the moment the download request is handed over to the download management of the browser. Should the user cancel the download in the browser, the entry still remains even though no actual download went through.
1. Logged Uses
Displays logged entries of uses by users or contacts.
Scope of the log in the usage history:
- Username - Name of the 4ALLPORTAL user who either executed the download or sent data via eTicket.
- Time of usage - Date and time when the download via the web browser started.
- Link to object - Clicking the file name will open this in the detail view.
- Transmission - Shows the method of transmission, e.g. download from the shopping cart or eTicket.
- File name at time of usage - Shows the file name at the time the file was downloaded. If this is different from the file name in "Link to object", the file name was changed retrospectively.
- Download profile - Target format for the download. Conversion into a web format, for instance.
Note: This is the default scope of the log in 4ALLPORTAL. The scope may have been customized for your organization.
2. Search Fields
Use the search fields to search for specific objects in your 4ALLPORTAL. This screenshot shows an example with fields for searching by times of usage, usernames, and download profiles.
Note: Search fields are customized for your organization. There is usually a custom search section defined for each user role. For example, user role "Marketing Department" can use different fields to search for assets than user role "Product Manager".

3. Toolbox
The toolbox provides you with a range of different actions and/or functions, depending on the module in question.
By default, the Usage History module only allows you to open objects in the detail view.
Note: Toolbox functions are usually customized for your organization. The options and functions available to you depend on your user permissions. Another user may be able to use options that you cannot use as a result of your restricted user permissions.
