The main view of the 4ALLPORTAL PowerPoint plugin clearly shows the search filter, tile and list view, and display options areas.

1. Searching and Filtering

Various search filters* make it easy to search for specific assets. You can search for an asset by its file name by entering it into the “Name” search field.

You can filter the search specifically by file types by selecting the filter checkboxes in the “File type” area. Various image and video formats are available to choose from as well as PowerPoint files. If you select the PNG and JPG filters, for example, you will only be shown assets of this image type in the search results.

You can also combine search filters. Enter a file name and select a file type filter.

*This refers to the 4ALLPORTAL PowerPoint plugin standard search filters. Alternative options are available depending on customer-specific search filter requirements.


2. Performing or Resetting a Search

Clicking on the “Search” button initiates the search request.
If you would like to call up all image, video, and PowerPoint files from the DAM, simply click on the “Search” button without entering a file name or file type.


Clicking on the “Reset” button resets the search text in the fields and/or checkboxes.


3. Help

Clicking on the “Help” button opens the 4ALLPORTAL documentation in your standard browser.


4. Opening a PowerPoint File

Clicking on the “Open presentation as a template” button opens a PowerPoint file (.ppt | .pptx | .pptm | .potx | .potm) from the 4ALLPORTAL DAM as a presentation template.
The button does not become active until a PowerPoint file is selected.


5. Inserting a Medium

Clicking on the “Insert medium” button imports an image or video into PowerPoint.
The button does not become active until an image or video is selected.


6. Scaling the Window Size

Position the mouse over one of the four corners of the window to change the size of the plugin window however you choose.
The window remains this size until you close PowerPoint completely. The next time you launch the plugin, it opens in its original size.


7. Selection

Clicking on the checkbox selects a file so that it can be inserted as a medium or opened as a PowerPoint template.


8. Zoom – Tile View

Clicking on the plus or minus button changes the zoom level of the tile view.
The original size is restored once the plugin window has been closed and reopened.


9. Tile View / List View

Clicking on this button changes the preview between the tile view and list view.


10. Sorting Order

Clicking on this button allows you to reverse the sorting order of the search results in the tile view and list view.
The standard setting is ascending order (A–Z, 0–9) by default.


11. Sorting Options

Select the criteria to be used to sort the file search results.


Sorting options:

  • Created on = Creation date of the file (default sorting option)
  • Changed on = Change date of the file
  • Display name = File name


12. Scrolling through Search Results

As soon as the number of search results exceeds the set quantity of “Objects per Page”, the page display 1 of 1 increases to include additional pages.
Clicking on the arrow buttons allows you to scroll through the pages of the tile and list view.

For example: If the search result includes 50 objects and the quantity 25 is set under “Objects per Page”, you will see 1 of 2 pages. You will have the option to scroll to the second page.


13. Objects per Page

Clicking on the arrow button allows you to set the number of “Objects per Page”.


14. Object Quantity in the Search Results

This indicates the amount of objects returned in the current search.
