You can use the search- and filter function to find files or records in each module very easy and quickly. For example, you can find files by file name, file type, or customized metadata tag.

Note: Search fields are usually customized for your organization. A custom search section is defined for each user role. Users with user role "Marketing Department" may see different search fields than users with user role "Product Manager" because these users have different needs when it comes to searching for assets.

For further information about the search fields available to you, please contact your company’s 4ALLPORTAL manager.

1. Search Fields

This example uses the search field "Global search" to search for assets by metadata or file name. You can refine the search by combining it with other fields such as "File type" and "Status".

In this example, the search finds all the assets tagged with the term "Image compositions", file type "JPEG", and status "Approved".

Search results depend on the function of a search field. The field shown above searches among metadata and file names. Search fields can be set up for different purposes. You can just search for a file name, or for a specific metadata field. Like in the "Status" field, preset values can be used for a search.

2. Additional Search Settings

There is a button on the "File type" search field. Click it to open additional search settings.

In this example, if you clicked the   icon, it would open a pop-up window where you could select a file type.

3. Execute Search

Click the button to carry out the search.

4. Reset Search Fields

Click the button to delete the search queries entered into the search fields.
