The system will process the data for download in the background. Depending on the volume of data, the download profiles selected, and the performance of your DAM server, this process might take some time. Your browser’s download manager will launch as soon as the process is complete.

Note: Customized role configuration might result in different shopping cart behavior after the download is complete. Either the files will remain in the shopping cart after the download, or the files will be automatically removed from the shopping cart after the download is complete. If you have questions about the behavior of the shopping cart, please contact your company’s IT administrator.

2. Send Selected Files via eTicket

Click the "Send eTicket" icon to start the eTicket editor with the selected files, taking into account the selected download profiles for the respective files.

You can find further information in section Share - Send Selected Files via eTicket.

Note: Customized role configuration might result in different shopping cart behavior after the eTicket is sent. Either the files will remain in the shopping cart after the eTicket is sent, or the files will be automatically removed from the shopping cart after the eTicket is sent. If you have questions about the behavior of the shopping cart, please contact your company’s IT administrator.

3. Remove Selected Files

Click the "Remove files" icon to remove the selected files from your shopping cart.

4. Select Download Profile

Click the triangle icon to open the drop-down list where you can select from the available download profiles for an file.

Note: Download profiles are generally customized for your organization. This user manual shows examples of download profiles.

5. Missing Download Profile

The text will be displayed in red as a warning that no download profile is assigned to an file.

Note: The system will download files without assigned download profile using a backup profile. If no customer-specific backup profile has been set up, the original (unchanged) file will be downloaded.

6. Search and Filter Shopping Cart

With the filter function, you can search for files in your shopping cart or filter by download profile.

With the "Search shopping cart" field, you can search for files in the shopping cart based on their file name. For example, if you enter the search term "cornfield", all files with this word in their file name will be displayed.

Click one of the checkboxes for the example download profiles Web, Print, or Original to filter your search for files by download profile.

Note: Search fields are usually customized for your organization. A custom search section is defined for each user role. Users with user role "Marketing Department" may see different search fields than users with user role "Product Manager" because these users have different needs when it comes to searching for assets. For further information about the search fields available to you, please contact your company’s 4ALLPORTAL manager.

7. Change ZIP Download Name

You can change the name for the ZIP file to be downloaded at will by entering a name in the "ZIP download name" field.

The system will remember the name for all future downloads and for sending the eTicket. If you remove the name from the field, a default name will be used; it will be displayed in gray, for instance as "4APDownload", as shown in this example.

Note: The download will only be offered in ZIP format if you are downloading two or more files. The default name may also be customized for your organization and may differ from the example shown here.

8. Assign Download Profiles

The "Assign download profile" section displays selected download profiles and simultaneously allows you to select a profile for multiple files.

  1. Select any number of files in your shopping cart.

  2. The display indicates how many of the selected files have each of the download profiles assigned to them. If you hover your cursor over a profile name for a few seconds, a tooltip will open and show you the first ten files names that the profile is assigned to.

  3. Click each checkbox to activate the respective download profile for the selected files.

  4. By clicking a checkbox again you will deactivate the respective download profile for the selected files.

9. Notification of Missing Download Profiles and Backup Profile

As soon as you add files to your shopping cart, a default download profile will be automatically assigned to each individual file. In the system default, this is the "Original" profile, which automatically downloads data from the DAM system without changing it.

If you deselect all the profiles for an file, you will receive a notification about missing download profiles. If no profile is assigned for the download, the file will be downloaded with a backup profile that corresponds to the system default "Original".

Note: Different download profiles may be available as a result of customized settings or user permissions.
