The change history allows you to track which user changed metadata or profile pictures for a file/asset or object at what time. It shows the time period during which the metadata was edited, as well as previous and new metadata entries.

 

If the change history is activated for your user role, you will find the "Change History" menu item under the respective module in the detail view when you open a file/asset or object.


Note: Entries always refer to single objects, not multiple ones. The change history can be configured for standard and customized modules.

Changes to metadata can also be made via the system or via customized workflows. These types of entries are marked as "system processes".

1. Open

Clicking the icon will open the change history.


2. Entries

Entries are sorted in descending chronological order within a given time period, meaning that the newest entry comes first.


For each entry, the field name of the respective metadata field and the "Previous entry" are listed alongside the "New entry". The example shown in the screenshot shows that the “Permitted usage” field previously contained no metadata and now contains values.


3. Monitored Fields

This list indicates which metadata fields in your 4ALLPORTAL are monitored by the change history. As soon as a user enters metadata into a field listed here, this change will be listed as an entry once the object is saved.


Note: The fields monitored in the change history are generally customized for your organization. Access to monitored fields is usually determined based on the individual user role.
